Budget for the Encoder

Tags have to be written before they mean anything, and an ordinary label printer cannot encode RFID media at all. An RFID printer encodes and verifies as it prints, rejecting bad inlays before they reach your stock. This is the step most RFID budgets miss.

RFID works well when the physics is on your side and fails quietly when it is not. These are the questions that decide which.

Should we replace barcodes with RFID?

Usually not replace, but add. They solve different problems.

Barcode confirms an item is where you expect, one at a time, in line of sight. It is cheap and reliable, and perfectly adequate wherever someone is already standing in front of the item.

RFID reads hundreds of tags per second without line of sight, so it finds things and counts in bulk. That changes what is practical rather than just what is faster.

Most sites run both: barcodes on lower-value and consumable items, RFID on the equipment that actually goes missing.

Does RFID work on metal and liquids?

Not with standard tags. A normal RFID inlay placed on metal detunes and effectively goes silent, and liquid absorbs the signal. This is the single most common reason RFID pilots fail.

On-metal tags include a spacer or ground plane so the antenna works against a conductive surface. They cost considerably more, which is why they suit tooling, equipment and high-value assets rather than everything.

Do we need a special printer for RFID tags?

Yes. An ordinary label printer cannot encode RFID media at all. An RFID printer writes the tag as it prints the label, and verifies the encode before the label leaves the printer, rejecting bad inlays rather than letting them into your stock.

Is RFID expensive?

The readers and printer are a one-off cost comparable to other enterprise hardware. The ongoing cost is tags, and that is what decides whether a deployment makes sense.

Standard inlays are inexpensive enough to use in volume. On-metal and hard tags cost considerably more, which is why they suit assets rather than consumables.

The honest test is how much time you currently spend counting or searching. Sites counting weekly usually justify RFID quickly. Sites counting once a year rarely do.

What do people use RFID for?

Inventory counting where item volume has outgrown barcode scanning. Asset tracking for equipment, tools and IT hardware that moves around a building.
