Cash Drawer Questions, Answered

Cash drawers look simple and cause more ordering mistakes than almost anything else on the counter, usually over cables. Check the drawer, the cable and your software all agree before ordering.

How does a cash drawer open?

In most setups the drawer is opened by the receipt printer, not the terminal. It plugs into an RJ11 or RJ12 kick-out port on the back of the printer, and the POS software sends a kick command with the receipt. Some drawers connect by USB directly to the terminal instead, which suits tablet setups with no printer port. Every drawer also has a manual key override for cashing up. Confirm your POS software supports the drawer method you choose, because a correctly wired drawer will never open if the software cannot trigger it.

Are cash drawer cables universal?

No, and this catches people out constantly. The RJ11 or RJ12 connector looks identical between brands, but the pin wiring differs between printer manufacturers, so an Epson cable may not trigger a Star printer's drawer and vice versa. Always order the cable matched to your specific printer brand rather than assuming the one in the box will work. If you are mixing brands across sites, note which cable goes where before installation day.

What size cash drawer do I need?

16 inch is the common standard for retail and restaurant counters, with compact models around 13 inches for tight spaces and mobile carts. Size affects both counter footprint and till capacity, so count the note and coin denominations you actually handle. Measure the depth under your counter before ordering, because a drawer that fits the counter top but not the shelf below is a common and avoidable problem.

What is a till insert and can it be replaced?

The till is the removable tray inside the drawer holding note and coin compartments. Standard configurations are five note and eight coin slots, though layouts vary by region and business type. Tills are replaceable and are usually the first part to wear out, so check availability of spares for the model you buy. Removable tills also make cashing up faster, since the whole tray can be carried to the back office.

How long does a cash drawer last?

Commercial drawers are rated by opening cycles, commonly in the millions, and the mechanism is usually what fails rather than the shell. A busy counter opening the drawer hundreds of times daily will reach that limit far sooner than a low-volume shop. Cheap drawers use lighter roller mechanisms that jam under heavy use. Given they sit in the most visible spot in the store and are handled constantly, this is not the place to save money.

Can I use a cash drawer without a receipt printer?

Yes. USB cash drawers connect directly to the terminal and are opened by the software without a printer in the chain, which suits tablet-based setups and businesses that email receipts. The tradeoff is that USB drawers usually cost more and need a driver or software support that printer-driven drawers do not. Check your POS platform explicitly lists USB drawer support, because many assume the printer kick method and offer no alternative.
